1. Introduction

Talent Haus ("Talent Haus," "we," "our," or "us") is a boutique executive search firm specializing in Finance & Accounting placements, founded and operated by Jessica Kovacevich in Miami, Florida.

This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you visit talent-haus.com (the "Site"), submit an inquiry through our landing pages, or otherwise interact with us -- whether you are a company looking to hire Finance & Accounting professionals, or a finance and accounting professional exploring new opportunities.

By using our Site or submitting your information to us, you agree to the practices described in this policy. If you do not agree, please do not use our Site or submit your information.

We do not sell your personal information to third parties. We use it solely to provide our recruiting services, communicate with you, and improve your experience with Talent Haus.

2. Information We Collect

We collect information in two ways: information you provide directly to us, and information collected automatically through your use of our Site.

Information You Provide Directly

When you fill out a form on our Site, book a discovery call, or contact us by email, we may collect:

  • Identity & contact data: First name, last name, email address, phone number
  • Professional & company data: Company name, your job title or role, company size (number of employees), the Finance & Accounting role you are looking to hire for
  • Location data: City or general location you provided in a form
  • Marketing attribution data: How you heard about us (e.g., ad, referral, search), ad or campaign name linked to your inquiry, UTM parameters from the URL you arrived from
  • Communications content: Any messages, notes, or context you share with us via email, phone, or form submissions

Information Collected Automatically

When you visit our Site, certain data is collected automatically through cookies and tracking technologies, including:

  • Device & browser data: IP address, browser type and version, operating system, device type
  • Usage data: Pages visited, time spent on pages, links clicked, referring URLs
  • Advertising identifiers: Cookie IDs and pixel data used by Meta (Facebook/Instagram) to measure ad performance and enable retargeting. See Section 4 for full details.

3. How We Use Your Information

We use the information we collect for the following purposes:

To Provide Our Recruiting Services

  • Respond to your inquiry and assess whether Talent Haus is the right fit for your needs
  • Schedule and conduct discovery calls and follow-up conversations
  • Qualify leads and move them through our recruiting process
  • Send candidate submissions, contracts, and placement-related documents

To Communicate With You

  • Send automated follow-up emails after you submit a form (see Section 7)
  • Follow up by phone or email as part of our standard outreach process
  • Send relevant updates about our services, market insights, or open roles (you may opt out at any time)

To Operate and Improve Our Business

  • Track the source and performance of our advertising campaigns
  • Understand how visitors use our Site so we can improve it
  • Maintain records of client and candidate interactions for relationship continuity
  • Comply with legal obligations

For Advertising and Retargeting

  • Show you relevant ads on Meta platforms (Facebook and Instagram) if you have visited our Site
  • Build audiences for our paid advertising campaigns based on engagement with our Site
  • Measure the effectiveness of our advertising spend

4. Meta Pixel & Tracking Technologies

Our Site uses the Meta Pixel (also called the Facebook Pixel), a tracking technology provided by Meta Platforms, Inc. The Meta Pixel is a piece of code that loads when you visit our Site and collects data about your activity, which is sent to Meta.

What the Meta Pixel Does

  • Records standard events such as page views and form submissions
  • Allows us to measure conversions from our Meta (Facebook and Instagram) ad campaigns
  • Enables us to show ads to people who have previously visited our Site (retargeting)
  • Allows us to build "lookalike audiences" of people who share characteristics with our existing visitors

Data Shared With Meta

Through the Meta Pixel, data such as your IP address, browser information, and pages visited on our Site may be transmitted to Meta. If you are logged into Facebook or Instagram, Meta may be able to associate this data with your profile.

In some cases, we may also share certain contact information (such as email address or phone number, in hashed form) with Meta to match your inquiry to a Meta account for conversion reporting purposes. This is done using Meta's Conversions API or similar features.

Your Choices Regarding Meta Pixel

  • Meta Ad Preferences: You can review and adjust how Meta uses your data for advertising at facebook.com/ads/preferences.
  • Cookie opt-out: You can disable cookies in your browser settings. Note that disabling cookies may affect Site functionality.
  • Industry opt-out tools: You may also use optout.aboutads.info or optout.networkadvertising.org to manage interest-based advertising preferences.

Other Tracking Technologies

Our Site may also use standard cookies and session storage for basic functionality, such as remembering form state or analytics. We do not use these for purposes beyond what is described in this policy.

5. Third-Party Services

We work with trusted third-party service providers to operate our business. When we share your data with these providers, we do so only to the extent necessary for them to perform services on our behalf.

GoHighLevel (CRM & Marketing Automation)

We use GoHighLevel (LeadConnector) as our customer relationship management (CRM) platform. When you submit a form on our Site, your information -- including your name, email, phone number, company name, job title, and other form fields -- is transmitted to and stored in GoHighLevel. GoHighLevel processes this data on our behalf as a data processor.

GoHighLevel handles automated follow-up emails, calendar booking, and pipeline management for incoming inquiries. You can review GoHighLevel's privacy practices at gohighlevel.com/privacy-policy.

Meta Platforms (Facebook & Instagram)

We run paid advertising campaigns on Meta platforms. As described in Section 4, Meta receives pixel and event data from our Site. Meta is an independent data controller for data it collects through its own platforms. Meta's data policy is available at facebook.com/privacy/policy.

Google (Calendar & Workspace)

We use Google Workspace for email and calendar. If you book a discovery call, scheduling information may be stored in Google Calendar. Google's privacy policy is available at policies.google.com/privacy.

DocuSign

We use DocuSign to send and execute recruiting agreements and placement contracts. If you sign a contract with us, your name, email address, and signature data will be processed by DocuSign. DocuSign's privacy policy is available at docusign.com/privacy.

6. How We Share Your Information

We do not sell, rent, or trade your personal information. We may share your information in the following circumstances:

  • Service providers: With third-party vendors listed in Section 5 who process data on our behalf under appropriate data processing agreements.
  • With your consent: If you are a candidate, we will share your resume and professional profile with prospective employer clients only with your knowledge and consent. If you are a client, we will share your job requirements with qualified candidates as part of the recruiting process.
  • Legal compliance: If required by law, regulation, court order, or governmental authority, we may disclose information as necessary.
  • Business transfers: In the event of a merger, acquisition, or sale of Talent Haus, your information may be transferred to the successor entity, subject to the same privacy protections described here.
  • Safety: To protect the rights, property, or safety of Talent Haus, our clients, candidates, or the public.

7. Email & SMS Communications

When you submit a form on our Site, you may receive automated follow-up communications from Talent Haus. These are sent through our GoHighLevel platform and may include:

  • An immediate confirmation email acknowledging your inquiry
  • A follow-up email within 24 hours with additional information about our process
  • A final follow-up email within 72 hours if we have not yet connected

Beyond these automated sequences, our team -- Jessica or Robin -- may contact you directly by email or phone to discuss your needs.

Opting Out

You can opt out of marketing emails at any time by clicking the "unsubscribe" link included in every email we send. You may also opt out by contacting us directly at jessica@talent-haus.com.

Please note: opting out of marketing emails does not stop transactional communications related to an active recruiting engagement (e.g., contract documents, candidate submissions, or placement follow-ups) unless you specifically request that we close your file.

If you have provided your phone number and receive SMS messages from us, you can reply STOP at any time to opt out of further text communications.
